The proposition

A secure place, plus the discipline around it

Warehousing on its own is floor space. What makes it useful to an IT programme is everything wrapped around the pallet: serial capture at inbound, bin location, a kitting bench, sealed dispatch tied to a ticket, courier-tracked transfers, and a return path that ends in either refresh or a destruction certificate.

We run that as a service in nineteen owned facilities, one at every country entity, staffed by our own warehouse workers. Because the entity is registered locally it can act as importer of record, so equipment clears into local stock rather than sitting in a bonded facility while a rollout waits.

The part clients notice most is the visibility. Every warehouse runs the same system, so you see your stock by warehouse, by country and by serial, with the movement history behind each one - live, not in a monthly spreadsheet.

One platform

Every warehouse, one system, your view

Stock is serialised and asset-tagged at inbound, bin-located, scanned on the floor, sealed at dispatch and reconciled on return. You see all of it from one place.

Access is scoped deliberately. Warehouse operators are scoped per facility - a Warsaw operator sees Warsaw and nothing else. Customers see their own stock across every facility. On-demand Excel export is available on every register, so a procurement or audit question is answered without asking us for a report.

Who uses it

OEMs & integrators

Hardware staged in-country ahead of a deployment, so the programme is not gated by freight or customs at the point it needs to move.

Telecom CPE & SD-WAN

Edge appliance and CPE programmes with per-site kits built and dispatched against the rollout wave plan.

Third-party maintenance

Spares pools held per country behind contracted response times, drawn down against work orders and replenished automatically.

Retail estates

Parts aligned to store clusters so a till or peripheral failure is a same-day dispatch rather than a freight booking.

DC & office programmes

Racks, cabinets and office IT staged, kitted and burned in, then delivered to the change window ready to install.

Logistics firms

Client IT handed to us where a logistics provider needs an IT-competent warehouse rather than general pallet space.

The service list

What Warehouse as a Service includes

Parts relocation between sites

Movement of client equipment between offices, sites and facilities, planned and tracked rather than couriered ad hoc.

·Site-to-site and site-to-warehouse moves·Serial capture at both ends·Courier or our own transport·Custody record per asset

Inbound stock-in

Receipt against an advance shipment notice, physical inspection, serial and asset-tag capture, then put-away to a bin location.

·ASN matching and exception flagging·Visual inspection on receipt·Serial capture and asset tagging·Bin-located put-away in the WMS

Outbound stock-out

Picked, packed, sealed and recorded - with the user, the date and time and the service-ticket ID captured before the seal goes on.

·Pick against ticket or wave·Packing to spec, on demand·Tamper-evident sealed dispatch·User, timestamp and ticket recorded

Inter-warehouse transfers

Stock moved between our facilities with courier tracking, so a spare in the wrong country is a transfer rather than a purchase.

·Transfer raised in the WMS·Courier and AWB tracked to delivery·In-transit visibility in your portal·Reconciled on arrival

Parts identification

Barcode and label printing direct from the warehouse system, to our scheme or yours.

·Barcode generation and printing·Asset-tag application·Client labelling schemes supported·Re-labelling on refresh or transfer

Installation & staging

Devices preconfigured, imaged, burned in and tested before they leave, so hardware arrives working rather than boxed.

·Image and configuration to your build·Firmware and BIOS baseline·Burn-in and functional test·Per-site kitting and labelling

·Standard and export packing·Palletisation and shrink-wrap·Fragile and high-value handling·Documentation for shipment

Bring-n-Go collection

A field worker or courier collects parts directly from the facility, on a 5x16 or 7x24 window depending on the agreement.

·5 days x 16 hours as standard·7 days x 24 hours under technical SLA·Pre-picked and ready on arrival·Collection recorded against the ticket
Workshop & staging

The technical bench

Hardware arrives working, not boxed. The bench is what separates an IT warehouse from a storage unit.

System staging

Devices are preconfigured, burned in and tested before they ever reach site. On a rollout that removes the two most common causes of a failed visit: a device that will not build, and a device dead on arrival.

Security & discipline

Why clients trust us with their stock

Access control

Authorised personnel only, with access logged. Warehouse workers are directly employed and background-verified.

CCTV, 24/7

Continuous coverage of receiving, storage, bench and dispatch areas, with retention per agreement.

Environmental monitoring

Humidity and temperature monitored and alarmed, because electronics degrade quietly in the wrong conditions.

Location labelling

Every rack, shelf and partition labelled and mapped, so a bin reference on screen matches the physical location.

Barcoded at inbound

Every asset barcoded into the warehouse system on receipt. Nothing enters storage unrecorded.

Recorded outbound

User, date, time and service-ticket ID captured on every dispatch, before the tamper-evident seal is applied.

Tracked transfers

Inter-warehouse and site movements tracked end to end with courier reference and arrival reconciliation.

Liability insurance

Cover available on stored client equipment, with the level agreed per contract and stated in writing.

Discrepancy register

Any variance opens a record with an owner and a resolution date. Nothing is quietly written off.

Intra-region2 daysNext dayRoad or courier
Cross-region3 to 4 days2 daysAir and courier
Cross-borderPer lane, quotedPer lane, quotedAir and courier via our importer-of-record service

Cross-border movements run through the in-country entity acting as importer of record, with customs handling and duty documentation held against the movement. Where a part sits behind a contracted field response - 2-hour, 4-hour or next-business-day - the hot-spare pool is positioned so the lane time fits inside the SLA rather than consuming it.

OUTBOUND · SEALED AND RECORDEDTICKET ID ON THE BOX · EXPRESS LANE
Sealed outbound package at a Cogent hub dispatch bench: ticket ID label with barcode listing item, service, date and picking user, a courier address label routed to Italy on the express lane, and a scanner and terminal at the bench
Every outbound carries its ticket ID, the item, the service, the date and the user who picked it - scanned at the bench before the box is sealed. That is why a despatch can be traced back to the request that caused it, and why the lane above is a measured commitment rather than a courier estimate. Client, address and reference identifiers removed.
This is the mechanism behind our field SLAs. See how spares strategy maps to each response tier →

Calibration & audit

The monthly governance cycle

Inventory accuracy decays unless something forces it back into line. A calibration cycle every month is what keeps the register worth reading.

MONTHLY GOVERNANCE
CYCLE
01
Audit plan
Scope agreed for the cycle - full count, sample or by customer - and scheduled against operational load.
02
Physical inventory check
Counted on the floor by bin and serial, scanned rather than transcribed.
03
Reconciliation
Counted position reconciled against the warehouse system, with every difference itemised.
04
Verify against client book
Our position checked against the client's own asset record, not just against ourselves.
05
Gap analysis
Each variance investigated to cause - mis-pick, unrecorded movement, damage or genuine loss.
06
Report
Issued with the movements, stock position, SLA attainment and the discrepancy register.

RMA management

Defective units are received, diagnosed and confirmed on the bench, the claim is raised with the manufacturer, the replacement is tracked to arrival and the stock position is corrected - all against the original serial, so the asset history shows the fault, the claim and the resolution in one place.

Monthly report

Service performance, movements, stock position and SLA attainment, issued on an agreed date. It is a summary of what you can already see, not the only window you get - the portal view is live at any time, and every register exports to Excel on demand.

SLA met

A global fast-food chain runs roughly 1,050 restaurants across the UK and EU. Its network devices, phones, racks and site hardware are held in our UK warehouse - received, verified and serialised the day they arrive.

Every inbound delivery is checked against the bill of materials before it is accepted into stock, logged into the WMS and bin-located. When a site needs equipment - a new opening, a refresh, a failed device - we pick, pack and ship to our field worker or direct to the restaurant, with same-day shipping to site on a large share of orders so trading is never disturbed. Our workers install on arrival.

Receive as per BOM, store serialised, ship on demand, install on schedule - the chain runs at 100% SLA attainment, with every serial visible to the client throughout.

FAQ

Questions buyers ask

Is there a minimum volume or a long commitment?

No. Temporary storage is deliberately flexible - if you need a pallet held for two weeks before a site is ready, that is a normal request priced per week with no annual commitment. Short-term monthly storage is priced per cubic metre, and only the fixed-term annual model assumes an ongoing operation. We would rather hold a small volume well and grow with the programme.

Is our stock insured while you hold it?

Liability insurance on stored client equipment is available, with the cover level agreed per contract and stated in writing rather than assumed. Many clients carry their own cover and simply need our confirmation of storage conditions, access control and CCTV, which we provide as part of onboarding.

Do you offer bonded storage?

Where the requirement exists we arrange it in the relevant country, and for cross-border movements our in-country entity can act as importer of record so goods clear into local stock properly. That is usually the better answer than bonded storage, because kit sitting in bond is kit a project cannot use.

Can we use your warehouse system, or do we need our own?

Ours is included. The portal view is part of the service, not an upgrade: stock by warehouse, country and serial, movement history, the global multi-warehouse audit view, and Excel export on every register. Where you have your own asset system we reconcile against it at monthly calibration rather than asking you to abandon it.

How is our stock kept separate from other clients' stock?

Customer-owned stock is held in a segregated bay with its own bin locations, and every asset carries a customer scope in the system so it can only be picked against your tickets. Warehouse operators are scoped per facility and cannot see other facilities; customers are scoped to their own stock and can see it across all nineteen.
